Financial Policies

These policies will apply to every event…
It is our desire and heart to run a ministry to students that will serve the local church in developing young champions for Christ.  This passion affects every aspect of our ministry, including the worship services, recreation activities, food, lodging as well as our financial commitments. In the interest of mutual understanding, our financial policies are as follows:
·        Pre-Registration (Online or Over the Phone) does NOT provide availability for any group. The ONLY way to guarantee your spots at a Foundation event is by submitting a $75 per person deposit (By check, Money Order or Approved Credit Card) to the John Welborn Ministries Office.  These spots are on a “first come first served” basis.  The earlier the deposit is received, the better off you will be.
·        If you submit your deposit after your desired event has been closed due to reaching its’ capacity, it can be refunded to you in full.  Or, if you should desire to be placed on a waiting list, in the hopes that a group is unable to attend, you will be placed on that list in the order your deposit was received.  
·        No deposit can be refunded after we have reach 150 days (Approximately 5 Months) out from the requested event.  This is due, in part, to the commitments made to bands, speakers, hotels, caterers, churches and other ministries.  We have commitments to keep, even that far in advance, so deposits will have already been spent by this deadline.  
·        No deposit is transferrable once we reach the 90 days (Approximately 3 Months) out from the requested event.  This means that, if you send a deposit for 20 people, but only end up bringing 15, within 90 days we cannot “roll” the additional deposits into the final balance for the remaining 15 people.  
·        The final Balance will be due in the John Welborn Ministries Offices, no later than 14 days (2 weeks) out from the requested event.  This can be paid by Check, Money Order or Approved Credit Card.  An invoice, outlining final balances, will be sent in time for review and remittance of payment in full.  Any group whose final balance is not received in the John Welborn Ministries offices by the 14 day out mark, will be cancelled from our list of attending churches and their deposits will be forfeited.  If there are “last minute” additions or subtractions, please make contact with our office via phone or e-mail to request additional spots or modify your numbers. We cannot guarantee additional spots, but we will try to include as many as possible!

Hilton Head

Adult Chaperones
We ask for each group to have a 1 to 5 adult, student ratio. All youth pastors or youth leaders will be responsible for the behavior of their youth. If any problems occur with any youth, the youth pastor or leader will be addressed. It is our desire for all youth leaders to have an enjoyable time and a worshipful camp experience, so our staff will be available to assist you in anyway that we can.

What to Bring:
· A Great Attitude!
· Bible, pen, notebook
· Casual and Athletic Clothes for five days as well as an appropriate bathing suit.
· Towels and wash cloths
· Personal hygiene items
· Spending money for snacks and souvenirs
· Alarm clock

What Not to Bring:
· Tobacco, drugs, alcohol or weapons
· Fireworks
· Water balloons
· Clothing with vulgar or inappropriate pictures or language, etc.
· Speedos, Bikini’s, Immodest Clothing of any kind*
· iPod’s, CD Players, Video Games, etc. **

Missions Project

Mission Project Note:
“Foundation to the Streets” will be an incredible time of Worship and Evangelism that will be well-planned and completely safe. However, the nature of this project doesn’t allow for students that will need to be “baby-sat” during this trip. Take caution, as a leader, in those you allow to participate in “Foundation to the Streets” because this project will require a substantial amount of responsibility on everyone’s part. Again, this trip is completely safe for everyone involved, but if a student is looking for trouble, he or she can certainly find it in New York City. If a student or adult has a genuine heart for God and a passion for the lost, this project could be a defining moment in their life. So, bring the best of the best from your church and join us for “Foundation to the Streets.”

· Spending money for snacks souvenirs and the New York experience
· Sunscreen

What Not to Bring:
· Tobacco, drugs, alcohol or weapons
· Fireworks
· Water balloons
· Clothing with vulgar or inappropriate pictures or language, etc.
· Speedos, Bikini’s, Immodest Clothing of any kind*
· iPod’s, CD Players, Video Games, etc. **

* It is our desire to encourage a lifestyle of worship, personal holiness and humility. We want to give each Youth Pastor/Leader the opportunity to teach his/her students about this important issue. Our Camp Philosophy encourages Students to worship God through all aspects of their lives including their clothes. We desire that students and adults live a lifestyle of modesty and humility more than we care about their clothing. In order to provide some objective and practical helps in encouraging your students towards personal modesty in clothing, we offer these suggestions: Avoid Short Shorts, low cut jeans/shorts, tight/form fitting clothes. (Obviously anything that reveals undergarments is unacceptable) Avoid Shirts with plunging necklines or those that reveal the midriff. Bathing Suits should be worn only at the beach or in the pool area because they are not appropriate during meeting times. Avoid bathing suits that are revealing. If uncertain about a particular bathing suit, wear a T-Shirt over it. Again, we desire to give the Youth Minister the leadership over his own group and take this opportunity to teach about the real issue, Submission to Christ that results in a changed life! The suggestions listed above are, by no means, an all-encompassing list. Should we find that there is a student or adults that are not abiding by our camp philosophy we will address it with the Youth Minister/Leader. Our camp staff will not deal with a teenager in the area of modesty unless you request it from us. We are here to serve you, please allow us that opportunity! ** We understand that some of our groups will be traveling 10+ hours to camp. We want to allow the Youth Minister/Leader to make his/her decision about personal electronics. If you want to allow them the use of those devices while you travel, that is up to you. However, they are not to be taken into any worship service or small group session. Cellular phones are not allowed in the worship center or small group sessions. Once again, we want to create an atmosphere conducive for changed lives!
